The Validation Workflow feature enables multi-level, cascading validation of data collected through IASO. Instead of forms being immediately accepted after submission, organizations can define a structured review process where submissions are validated sequentially by designated approvers.
This ensures better data quality, stronger accountability, and greater visibility throughout the data validation process.
Validation workflows are configured using IASO user roles.
Users can be organized into groups of approvers through their assigned roles. These roles can then be configured to represent different levels within the approval chain, allowing organizations to create validation hierarchies that match their operational structure.
For instance: Data Reviewer → Data Manager → Program Administrator

This flexible configuration allows each IASO account to implement validation processes that align with its governance and data quality requirements.
When a form is submitted from the IASO mobile application, it enters a validation workflow. Each submission is reviewed through the IASO web interface by authorized users according to the configured approval hierarchy.

A form progresses through one approval level at a time. At each stage, the assigned reviewer can either approve the submission and forward it to the next validation level, or reject it and provide feedback to the submitter.
The validation process is completed once the form has been approved by all required approval levels.
Reviewers access submitted forms through the IASO web interface, where they can assess the information provided and take one of the following actions:

Feedback entered by reviewers is made available to the original submitter in the IASO mobile application.

When a submission is rejected, mobile users can view the reviewer’s comments directly in the IASO mobile application. This allows data collectors to understand the issues identified during the review process and make the necessary corrections.
After updating the information, the user can submit a new version of the form for validation. The revised submission then re-enters the validation workflow and follows the configured approval process.

This feature, although available for a wide range of applications, has been created to ensure the correct recording and traceability of supporting documents to justify spending to technical and financial partners. Read more about this use case here.
